Opticuity CRM follows a structured process to identify CRM data and pipeline issues, make approved improvements, verify the results, and support ongoing data maintenance.
Reliable contact and company information matters. So does knowing which opportunities are active, who owns them, and what needs to happen next. Opticuity CRM evaluates both.

Opticuity CRM evaluates agreed CRM records to identify duplicate candidates, incomplete information, inconsistent values, ownership gaps, and other issues that can reduce data usability.
For recruiting clients, the audit includes candidate and client records.
For commercial real estate clients, it includes owner, investor, property, and entity records where applicable.
The CRM Data Health Score is a structured assessment of agreed data-quality categories. Scoring rules and included record types are established for each engagement. It is not a universal or industry-certified scoring system.
May include:
Findings become changes only through a documented approval sequence.
Safeguard. Uncertain merges and destructive changes require approval before they are made.
Enrichment fills gaps in agreed fields using only authorized and verifiable sources.
Every value is classified as verified, proposed, or unresolved. Proposed and unresolved values are never presented as confirmed.
The original audit checks are repeated using comparable scoring rules.
Some records may intentionally remain unchanged because information cannot be verified or the client has not approved a correction.
May include:
Opticuity CRM evaluates pipeline records, stage information, ownership, activity history, and next-step data to identify inconsistencies that may make pipeline reporting and follow-up more difficult.
A stale deal is flagged for review. It is not assumed that every stale deal should be closed.
The Pipeline Health Score is separate from the CRM Data Health Score. It assesses the quality of pipeline information against agreed criteria. It does not predict revenue or guarantee forecast accuracy.
May include:
Approved cleanup activities address the issues the client has authorized.
None of these happen without appropriate authorization and supporting information.
Pipeline enrichment focuses on missing or incomplete information relevant to workflow visibility, using verified client information or other authorized sources.
Safeguard. Expected close dates, next steps, deal amounts, and opportunity statuses are never invented.
The initial pipeline checks are repeated using the same scoring definitions and comparable scope.
May include:
Clients receive separate assessments for CRM Data Quality and Pipeline Health. The Data Health Score evaluates agreed record-quality criteria, while the Pipeline Health Score evaluates the completeness, consistency, and organization of pipeline information.

Labeled placeholders. No separate data-only or pipeline score has been calculated for any demonstration. These values appear only once a score is calculated from appropriate source data using criteria agreed for an engagement.
Not combined. The two scores are reported separately and are not merged into one overall score. If a combined score is ever offered, its weighting and calculation method will be documented.
Not a forecast. Neither score predicts revenue or guarantees forecast accuracy.
For an earlier format, see the simulated SaaS demonstration. It reports a single illustrative composite health index (fictional data), which is a different measure from either score above.
Initial and post-cleanup audits use the same definitions for each track. Reports distinguish issues originally identified from those corrected, remaining, excluded from scope, or awaiting client approval:
No improvement percentage is claimed unless it is calculated from actual project data.
Links to a clearly labeled simulated demonstration in the portfolio. Not a client report.
Four stages. Both workflows move through each one together, and approvals sit between finding and changing.
Not a guarantee. The 30-day schedule represents the intended engagement structure. Actual scope and completion depend on record volume, issue complexity, available information, system access, and client approvals.
30-Day CRM Data & Pipeline Optimization
One coordinated engagement designed to improve CRM data quality and pipeline visibility through documented findings, client-approved corrections, enrichment, and post-cleanup verification.
Ongoing Monthly CRM Maintenance
CRM records and pipelines change as your business grows. Our optional monthly maintenance service provides separate recurring data and pipeline audits and reports, approved corrections, enrichment, data entry, and agreed offline backups.
No public pricing. Scope, volumes, and deliverables for each phase are agreed in writing before work begins.
The initial engagement establishes a clearer data-quality baseline. The optional monthly retainer provides recurring review and maintenance as records change.
| Service | 30-Day Optimization | Monthly Retainer optional |
|---|---|---|
| CRM Data Audit | Initial assessment | Monthly assessment |
| Pipeline Audit | Initial assessment | Monthly assessment |
| Data & Pipeline Health Reports | Separate initial and post-cleanup reports | Separate monthly reports |
| CRM Data Cleanup | Initial approved corrections | Ongoing approved maintenance |
| Data Entry | Initial corrections and updates | Recurring data entry |
| Pipeline Cleanup | Initial approved pipeline corrections | Ongoing approved pipeline corrections |
| Data & Pipeline Enrichment | Initial enrichment | Ongoing enrichment |
| Exception Tracking | Documented remaining issues | Recurring exception tracking |
| Offline Backup | Not included by default | Monthly agreed backup |
| Reporting | Before-and-after results | Monthly health and activity reporting |
After the initial 30-day engagement, maintenance can continue both tracks: records and pipelines are each audited and reported on separately.
Fifteen deliverables across the engagement. The exact document format and scope are confirmed during project planning.
No sample downloads are provided here. Client documents are prepared within the agreed scope and format.
Opticuity CRM focuses on understanding data problems before making changes. From duplicate records to pipeline inconsistencies, the process emphasizes clear findings, appropriate approvals, and documented results.
The safeguards below describe how engagements are structured. They are working commitments, not certifications.
Significant changes and uncertain record matches are reviewed before execution.
Agreed project deliverables provide visibility into the work performed.
Unverified information is not presented as confirmed data.
Offline backup scope, storage arrangements, retention, and verification are established before backup services begin.
Specific security, access, data-handling, and backup commitments are governed by the service agreement for each engagement. Opticuity CRM does not display security badges or certifications it has not independently obtained.
How the 30-day optimization, Health Reports, and optional monthly maintenance work in practice.
Opticuity CRM audits agreed CRM records and pipeline records, and delivers separate initial Data and Pipeline Health Reports. You review the findings and approve corrections; approved cleanup, data entry, and enrichment for both are then carried out within scope. Post-cleanup audits of both verify the work and document what remains. Scheduling depends on dataset size, complexity, access, and timely approvals.
Yes. The engagement reports on two separate tracks: a CRM Data Health Report and a Pipeline Health Report, each delivered before changes begin and again after cleanup, using consistent definitions so each can be compared before and after. The two scores are not merged into one.
It can, where appropriate. Direct updates depend on authorized access, agreed permissions, and the approved project scope. Some engagements work from approved exports or read-only access instead.
Separate monthly CRM Data and Pipeline Audits with their Health Reports, agreed data entry, approved pipeline corrections, ongoing enrichment of supported fields, exception tracking, and an agreed encrypted offline backup of exportable CRM data. Volumes and coverage are defined in the service agreement.
No. Monthly maintenance is optional and can be discussed after the initial engagement.
The backup procedure, export coverage, encryption method, retention schedule, and storage arrangements are agreed before implementation. Not every CRM exposes all records, attachments, histories, or metadata through export, so coverage is defined explicitly.
No. Record volumes, supported activities, and turnaround expectations are defined in the service agreement.
No. Regular maintenance helps identify and address data-quality issues, but new issues can arise between reviews.
Additional work can be evaluated and quoted based on the required scope.
