Significant changes and uncertain record matches are reviewed before execution.
New records, changing contact details, and everyday CRM activity can gradually introduce data-quality issues. Opticuity CRM's monthly maintenance service helps identify new data and pipeline problems, maintain approved records, enrich information, and preserve periodic offline backups.
Monthly maintenance typically follows the 30-Day CRM Data & Pipeline Optimization, once a clearer baseline exists. Many businesses will not need it, and it can be discussed after the initial engagement.
After the initial 30-day engagement, maintenance can continue both tracks: records and pipelines are each audited and reported on separately.
Opticuity CRM performs two recurring assessments: a monthly CRM Data Audit for new duplicates, incomplete records, and formatting inconsistencies, and a separate monthly Pipeline Audit for stale records, stage, ownership, and next-step issues. Each has its own monthly Health Report.
Includes month-over-month comparisons where comparable data is available, using the same measurement definitions each month.
As part of the monthly maintenance service, Opticuity CRM prepares an agreed export of CRM data and transfers it to a designated offline backup server or storage environment according to the approved backup procedure.
This provides an additional, independently stored copy of agreed CRM information. It is not, on its own, a complete disaster-recovery solution.
Not every CRM platform exposes all records, attachments, histories, or metadata through the same export process. The agreed backup scope lists exactly what is exported. Backup status is reported only once the agreed procedure has been implemented, tested, and verified for your account.
The physical location, network architecture, credentials, and identifying details of the offline storage are never published.
Backup coverage, retention, restoration capabilities, and storage arrangements are defined in the service agreement.
Opticuity CRM provides ongoing data entry and record maintenance within an agreed monthly scope, helping reduce the accumulation of incomplete or inconsistent information.
Monthly data entry is subject to agreed volume limits, permissions, and turnaround expectations. It is not unlimited.
Opticuity CRM reviews agreed enrichment opportunities and updates supported CRM fields using available, verifiable information and authorized sources.
Not every record can be fully enriched.
The initial engagement establishes a clearer data-quality baseline. The optional monthly retainer provides recurring review and maintenance as records change.

The safeguards below describe how engagements are structured. They are working commitments, not certifications.
Significant changes and uncertain record matches are reviewed before execution.
Agreed project deliverables provide visibility into the work performed.
Unverified information is not presented as confirmed data.
Offline backup scope, storage arrangements, retention, and verification are established before backup services begin.
Specific security, access, data-handling, and backup commitments are governed by the service agreement for each engagement. Opticuity CRM does not display security badges or certifications it has not independently obtained.
Separate monthly CRM Data and Pipeline Audits with their Health Reports, agreed data entry, approved pipeline corrections, ongoing enrichment of supported fields, exception tracking, and an agreed encrypted offline backup of exportable CRM data. Volumes and coverage are defined in the service agreement.
No. Monthly maintenance is optional and can be discussed after the initial engagement.
The backup procedure, export coverage, encryption method, retention schedule, and storage arrangements are agreed before implementation. Not every CRM exposes all records, attachments, histories, or metadata through export, so coverage is defined explicitly.
No. Record volumes, supported activities, and turnaround expectations are defined in the service agreement.
No. Regular maintenance helps identify and address data-quality issues, but new issues can arise between reviews.
Additional work can be evaluated and quoted based on the required scope.
Tell us about your records and what changes month to month. Volumes, backup scope, and reporting are agreed before anything begins.
